Customer Verification and E-Signing the Charter Contract

How to verify the renter and sign the charter contract online: identity, e-signature, handover report, GDPR. A practical guide for charter operators.

You are handing someone a boat worth hundreds of thousands of zloty. Before you do, you want to know who is taking it, have a signed contract and a documented record of the boat's condition. Doing this on paper at the dock is slow, it leaves gaps, and in season the queue only grows. In this guide we show how to move customer verification, contract e-signing and the handover report into one online process, so it is faster, safer and GDPR-compliant all at once.

Why verification is not a formality

Verifying the renter protects the operator on several levels at once. First, it confirms the identity of the person actually picking up the boat and that their details match the booking. Second, for boats that require a licence, it lets you check the licence. Third, it gives you grounds to enforce the contract and settle the deposit if something goes wrong. Without it you are left with a verbal promise and a photo of an ID on a phone.

The problem is that manual verification clashes with the pace of online booking. The customer books and pays in a few minutes, then waits for emails with a contract to print and scanned documents. The more steps that happen outside the system, the more abandoned bookings and admin work you get.

E-signing the charter contract

Today the charter contract can be signed entirely online. The customer receives a document with the terms, the scope of liability and the deposit rules, accepts it electronically, and the operator has the signed version pinned to the booking. No printer, no scanning, and no risk that someone sets off without a signed contract because there happened to be a queue.

E-signing also shortens the path from booking to trip. Instead of trading emails, you guide the customer through one flow: booking, payment, verification, signature, pickup. This is exactly the kind of automation behind the promise of up to 70 percent less time on admin, which we show on the Portivo site as a product promise.

The report and the e-signature sit on the same booking, so the boat's condition and the customer's consent are documented in one place.

The handover report

Verification and the signature are the entry point, and the handover report is the closing step. At pickup and at return you document the state of the boat: damage, fuel level, equipment. The same report is the basis for settling the deposit, so if you take a charter deposit, it is worth keeping it in the same record as the report. Then every deduction has documentation and is not a matter of one word against another.

In Portivo handover reports are one of the system's six modules, alongside bookings, payments, offers, the storefront and marketing. As a result the boat's history, the signed contract and its condition at pickup are part of the same booking, not loose files in an inbox.

GDPR and compliance

Verifying a customer means processing personal data, so it must comply with GDPR. In practice this means collecting only the data you need, having a clear legal basis, and storing it securely instead of ID photos scattered across staff phones. An online process with a single place for documents is easier to keep in order than paper and email. Contract e-signatureacceptance of terms and liabilitya trip without a signed contract

One flow instead of four separate ones: booking, payment, verification with signature, and the report in the same record. Less clicking, fewer gaps, a faster pickup.

How to organize it in practice

Start by having verification and the signature happen right after payment, not the day before the trip in a rush. A customer who has just paid is the most willing to close the formalities. Then keep the contract, the data and the report in one place pinned to the booking, so every staff member sees the same state. Finally, tie it to the payment policy, because balance deadlines and the deposit refund depend precisely on whether the pickup was properly documented.

If you are only just building the fleet's operational process, start with the guide to charter fleet management, and you will find the details of pickup and boat history on the handover reports page.

Frequently asked questions

Can the charter contract be signed online?

Yes. The contract can be shared with the customer electronically and their acceptance collected online, with the signed version pinned to the booking. There is no need to print or scan documents.

Why verify the renter's identity?

To be sure who is picking up the boat, confirm the details match the booking, and have grounds to enforce the contract and settle the deposit in case of damage.

Is customer verification GDPR-compliant?

It can be, if you collect only the data you need, have a clear legal basis and store it securely. An online process with a single place for documents is easier here than paper and private phones.

What is a handover report?

It is a record of the boat's condition taken at pickup and at return. It is the basis for settling the deposit and the boat's history, so it protects both sides from a dispute over damage.

How does verification shorten service time?

It combines booking, payment, signature and the report into one flow instead of several separate steps outside the system. Fewer emails and clicks means a faster pickup and less admin work.
